Map moments before minutes
Start with the parts of your celebration rather than a rigid playlist: guest arrival, ceremony if included, cocktails, dinner, announcements, special dances and open dancing. Your actual order will depend on the venue and the plans you make with your team.
Keep conversation comfortable
Tell your DJ where guests will mingle and eat. Share the atmosphere you want and any venue sound limits. Background music and dance-floor music serve different purposes; discuss coverage instead of assuming one setup will suit every space.

Give important moments a clear cue
For entrances and special dances, write down the artist, recording, start point and who gives the cue. Confirm names and pronunciations for announcements. Identify a planner or trusted contact who can approve timing changes.
Plan the room changes
If the ceremony, drinks and reception happen in different places, ask about speaker coverage, microphones, power and setup access in each location. Ceremony sound is a separate conversation, not something to assume is included.
Leave room for the room
Use a small number of must-play songs and share what you want avoided. Let the DJ respond to the guests while respecting your priorities. Agree how requests will be handled and whether clean versions are needed.
Make one shared plan
Send the same final outline to your DJ, venue and planner. Confirm who owns each cue and when updates are due. Use your music brief to discuss the actual timeline with your team.
Your planning checklist

Dinner: conversation
Toasts: clear voices
Special dances: cues
